Data & Reports: export and import
How to view your studio's data as tables, filter it, export it to Excel and import clients and other data from a file.
Data & Reports shows all of your studio's data as tables. Pick a module, filter the rows and export them to Excel in one click: for your accountant, for the owner or for a quick check. This is also where you import clients and other data from a file, for example when moving over from another program.
How the page works
In the Module field 1 choose which data to show: Clients, Attendance journal, Memberships, Payments, Finance, Schedule, Groups, Locations, Team or Analytics. The list only includes modules you have access to.
The Filters button 2 opens the module's filters: for payments that's the period, payment method and who received it, for clients the status and group, for groups the direction and status. Where there's a period, choose This month (the default), Last month, This year or Custom range with your own dates. The number on the button shows how many filters are on, and the cross next to it clears them all.
There's a search box above the table, for example by client name. Click a column header to sort by it, click again to flip the order. At the bottom you can choose how many rows to show per page (Rows: 25, 50 or 100) and move between pages.
In the Clients module each row has a checkbox: tick the clients you need and open Bulk actions to change their status or archive them. This needs edit or delete rights for clients.
Export to Excel
The Export button 3 downloads an .xlsx file with exactly what you see: the same module, filters and sorting. Paging is ignored: the file gets every matching row at once.
Import from a file
The Import button 4 opens the import wizard.
- Pick a module
You can import clients, locations, groups, memberships, payments, team members, the schedule and attendance journal marks.
- Upload the file
Click Choose file. Excel (.xlsx, .xls) and CSV both work, and the first row must hold the column headers. Up to 2,000 rows are imported at a time.
- Match the columns
Abonio matches columns by their headers on its own, so just check them. Required fields are marked *. Leave any column you don't need on the "do not import" option.
- Check the data
Click Check. Abonio shows how many rows are ready, how many have errors and how many are duplicates. For duplicates pick Update, Create new or Skip, row by row or for all of them at once with All:. Rows with errors are skipped and listed below.
- Import
Click Import. At the end you get a report: how many records were created, updated, skipped and where errors occurred.
Who sees what
To open the page, a role needs the View permission in the "Data & Reports" group. Each module is switched on separately (the "Module: Clients", "Module: Finance" rows and so on) and only works together with access to the source section: the Finance module, for example, needs permission to view Finance. If you switch on a module without that access, Abonio warns you about the mismatch. The Finance module is available on the Business plan, the Analytics module on Pro and Business.
Importing needs the Import data permission plus edit rights in the section you're importing into. Role permissions live in studio settings.
