Journal: attendance, calendar and schedule
How to mark attendance, keep the class calendar and set up the recurring schedule: the journal, the calendar, the session page, the waitlist and "not coming".
The Journal section shows your studio's sessions on three tabs: Journal, a list of sessions for marking attendance; Calendar, the same sessions in a day-and-hour grid; and Schedule, the rules that create sessions automatically. Add session is available on every tab, and the Location filter at the top decides which halls' sessions you see.
The Journal tab
This is your main day-to-day tool: you see sessions by day and open the one you need to mark who came. The Journal tab 1 opens by default.
Today 2 jumps back to the current date, the arrows move through periods, and clicking the period name opens a date picker. On the right you switch the view: Day, Week or Month. When it opens, the journal scrolls to the nearest session by itself.
Under the navigation, four cards sum up the period: how many sessions, how many people came, didn't come and aren't marked yet. A session card shows the time and length on the left, the name, location and trainer in the middle, and the "present / absent / unmarked" counter on the right. You may also see badges: thumbs up and down are clients' "I'll come" and "I won't come" replies to the bot reminder, a red "!" with a number marks debtors in the session, and "Underfilled" means fewer people are coming than the group's minimum.
Filters 3 opens the filter panel. Session status: Scheduled, In progress or Finished, and you can pick several. The second filter is Direction, Group, Trainer or Client: pick a client, for example, and only their sessions stay. While a filter is on, the button shows a counter, and the cross clears it.
Create a new session with Add session 4; more on that below in the schedule section.
The session page and marking attendance
Click a session in the journal, the calendar, on the Dashboard or on a group's page - it's always the same page. The header shows the status, date, time, location, trainer, how full it is ("7 / 10") and the present, absent and unmarked counters. Previous and Next 1 take you to the neighbouring sessions without going back to the list. Open group and Attendance history lead to the group's page.
Attendance can be marked from 15 minutes before the start. Until then you can only book and remove clients.
- Mark everyone
Next to each client, pick Present or Absent. Unmarked means no mark, and nothing is charged.
- Check the memberships
The sessions left show on the right and update right away. If it's the last one, you'll see "running out". A trial visit is marked "Trial", and for a client with no membership and no trial you can click Grant trial to make the session free.
- Save
Click Save attendance. To correct something later, click Edit: the balance is recalculated.
If your studio has the Telegram bot connected, the client gets a visit confirmation with the new balance once you save.
The red Debtors in this class strip 3 lists who owes money or sessions. On today's and future sessions it shows every debtor; on past ones, only those whose visit to this very session is unpaid.
The Not coming badge 4 is the client's reply to the bot reminder, or a warning an administrator recorded. If a client called, click Warned next to them and set when they told you. That decides whether the no-show is charged when the studio has the no-show charging rule on.
Add client books one or more people onto the session. Choose This session only (the client is marked "drop-in") or Every week: then the client is on the group's sessions on the chosen days and times.
The session menu and duplicating
The three-dot menu in the header lets you Edit the session (for a recurring one, Abonio asks: this session only or the whole series), Duplicate, Cancel session and Delete. A cancellation only affects this session, even if it's part of a series: it stays on the schedule marked as cancelled, marks are cleared, charged visits go back to the clients, and participants are notified in the bot. Bring it back with Restore session.
The Duplicate button 2 on the page opens the Next session window: everything is filled in as in this session, and the date is moved a week on. Duplicate in the menu opens the Duplicate session window with the same date and a field for the title. Change the date, time, location or trainer, and choose Who's coming:
- Only the chosen - a session "by booking": only the ticked clients are on it. Handy to move "8 of 10" or set up the next individual session.
- Whole group - a regular group session at the new time.
If the trainer is busy then, there aren't enough spots, or the group already has a session at that time, Abonio warns you and offers Create anyway. The Let clients know in Telegram switch sends the ticked clients a "You're booked" message; the window shows beforehand how many will get it.
Waitlist and freed spots
When there are no free spots, "Add client" turns into Add to waitlist: the clients you pick join the queue. If there are some spots but you picked more people, Abonio offers to book the first ones and queue the rest. The Waitlist block shows under the participants only while someone is on it. Each client in the queue has three buttons: Book, Offer and Remove.
When you record Warned for a client and someone is waiting, the A spot has opened up window opens right away with the queue. If the client cancelled in the bot themselves, a green strip with Offer the spot appears above the list. Book someone after a call, or click Offer: they get a Telegram message with "Book it" and "Can't make it" buttons. While they decide (15, 30 or 60 minutes), nobody else gets the offer. If they tap "Book it" and the spot is still free, they're booked. If they decline or don't answer, their row turns red or amber, and the spot can go to the next person.
Before the session starts, booking over the limit only happens from the waitlist, after you confirm. Once the session has started, the spot can't be offered any more. How to queue a client from their card is covered in the clients article.
The Calendar tab
On the Calendar tab 1, sessions sit in a grid by day and hour; pick the view on the right 2. Sessions at the same time split into side-by-side columns, and the colour depends on the group. Past sessions are grey, cancelled ones are struck through. A block shows how many are booked: green while there's room, orange when one spot is left and red when it's full. In month view each day shows up to three sessions plus a count of the rest.
Clicking a session opens its page; right-clicking opens a menu with Open, Edit, Duplicate, Cancel session and Delete. Clicking an empty spot in the grid creates a one-time session with the date and time already filled in. The calendar filters include an Only with debtors checkbox.
The gear button opens Journal & calendar settings: the default session length, the grid step, the time format, Show spot counts and working hours for each weekday.
The Schedule tab
Here are the Schedule rules: the group, day and time, who conducts the session, the location and the spots taken and free. Use the menu on the right to edit or delete a rule. Abonio creates sessions from the rules on its own, weeks ahead.
To add a rule, click Add session. The New session window has two modes: Recurring (pick the location, the group, who it's Conducted by, the weekday and time; Add time adds more days, say Monday and Thursday) and One-time (a single date with no repeats). If the trainer already leads another session at that time, Abonio warns you and lets you Save anyway.
Next: groups and directions and clients.
